💬 How Bima Handles Guest Inquiries (Behind the Scenes)

When a guest interacts with your property via Live Chat, WhatsApp, or a Facebook/Instagram ad, Bima — your AI assistant — instantly steps in to manage the entire conversation from first message to booking.


🧠 Conversation Flow (Simplified)

  1. Intent Detection Bima identifies whether the guest is interested in a room booking, a specific promo, or something else — and responds accordingly.

  2. Smart Package Routing If the guest is inquiring about a promotional package, Bima routes the chat down a tailored conversation path based on the promo’s terms (e.g. minimum nights, room type).

  3. Detail Collection Through natural dialogue, Bima gathers booking info such as:

    • Check-in and check-out dates

    • Number of guests (adults + children)

    • Preferred room or villa type

    • Special occasions (if relevant)

  4. Booking Link Delivery Once all key details are captured, Bima sends a smart booking link that opens directly to the selected dates or package on your booking engine.

  5. Follow-Up Automation If the guest hasn’t clicked or booked:

    • First follow-up is sent shortly after the booking link is shared

    • Second follow-up goes out 24 hours later All follow-ups are personalized with the guest's name and property name

  6. Handoff or Close If needed, Bima can:

    • End the conversation politely

To keep your staff in the loop at every critical stage, the system will send an automated internal notification to your property's WhatsApp group chat (Property Name x directbookings.ai) whenever:

  • A guest starts a new inquiry

  • A booking link is sent

  • The guest clicks the booking link

  • The guest completes a booking
